The Role

The Andersen Tampa Office is seeking a full-time, mid-level Office Assistant for administrative work, involving independent judgment and action, and/or supervision of a mid-size office in a variety of activities. The Office Assistant is responsible for tax return filing administration and management, client billings, file maintenance, and administrative support for tax professionals.

He/she reports directly to the Office Managing Director and/or the OMD’s primary office personnel-in-charge on a day-to-day basis and serves as a primary contact person for a variety of support functions or services.

 

Primary Responsibilities/Essential Functions:

  • Receives or welcomes visitors and appropriately and professionally escorts visitors to the proper office;
  • Answers the main line, redirect callers appropriately, and takes detailed messages;
  • Responds to inquiries from staff, office visitors or guests, clients, or vendors and must be able to communicate clearly and timely the appropriate resolution or recommendation as needed;
  • Communicates with IT Helpdesk on any computer-related or network-related technical issues experienced by any one member of the staff;
  • Works on drafts to create final correspondence or memoranda as the need arises.
  • Accepts deliveries and mail for prompt distribution;
  • Tracks and monitors office supplies, including replenishment of supplies frequently used; purchases supplies when inventory is low;
  • Exercises independence in the performance of varied tasks in the areas of processing vendor invoices, certified mailing and/or overnight mailing, dropping off same packages to USPS and/or FedEx location, scanning various documents, including proofs of deliveries, maintaining files on network drives;
  • Coordinates busy season meals/snacks for the staff and must be able to follow-up and confirm orders, ensuring accuracy of specified orders and seamless delivery;
  • Proactively assists and ensures the completion of administrative support requested by staff on a day-to-day basis;
  • Provides a willingness to be of service or assistance as needed; and
  • Performs other related work as assigned.

The Requirements

  • 1 or more years of experience as an office support assistant;
  • Possession of a high school diploma or proof of high school equivalency;
  • Ability to work 40 hours per week;
  • Valid driver’s license and ability to transport mail to the post office;
  • Comprehensive knowledge of office practices, procedures, systems, and equipment;
  • Comprehensive knowledge of basic math computations, grammar, composition, and spelling;
  • Basic to comprehensive knowledge of computer information systems and software;
  • Ability to make independent decisions based upon knowledge of operations, policies, and procedures;
